Cardiff Accident Repair is an independent bodywork and accident repair workshop based in Rumney, Cardiff, operated as a sole trader by Ali. We are the data controller for the personal information we collect from you: meaning we decide how and why your information is used.

We only collect information that is necessary to provide our repair services and respond to your enquiries. This includes:
Information you give us directly:
- Your name
- Your phone number and/or email address
- Photos or videos of vehicle damage you send via WhatsApp or our contact form
- Your vehicle details (make, model, registration number) when relevant to a repair
- Your insurance policy details, insurer name and claim reference, where you ask us to handle an insurance claim on your behalf
- Any other details you choose to include in a message or enquiry
Information collected automatically when you use our website:
- Your IP address and browser type (via our hosting provider and any analytics tools)
- Pages you visit on our website and how long you spend on them
- Referring website or search term that brought you to our site
We do not collect payment card details. Any payments are handled separately and directly between you and us or your insurer.
3. How We Use Your Information
We use your personal information for the following purposes:

4. WhatsApp and Third-Party Messaging

We use WhatsApp solely to receive and respond to your enquiries. Photos and messages you send us via WhatsApp are stored on our device(s) and are treated with the same care as any other personal data we hold about you.
5. Insurance Claim Handling
If you ask us to manage a repair through your motor insurance, we will need to share your name, contact details, vehicle details and details of the damage with your insurer, their approved loss adjuster, or a parts supplier, as necessary to complete the claim and repair. We do this on your instruction and it forms part of the service you have asked us to provide.
6. Who We Share Your Information With
We do not sell or rent your personal data. We may share it only in the following limited circumstances:
- Your motor insurer or loss adjuster, when you ask us to handle an insurance claim on your behalf
- Parts suppliers, where your vehicle registration or details are needed to source the correct parts
- Our website hosting provider, who may process technical data (such as IP addresses) as part of providing our website
- Analytics tools (if in use on the website), on an anonymised or aggregated basis
- Law enforcement or regulatory bodies, if we are required to disclose information by law
We do not transfer your personal data outside the UK or European Economic Area except where a third-party tool (such as WhatsApp) processes data internationally under its own terms: in which case those transfers are subject to the data protection provisions of those providers.
7. How Long We Keep Your Information
We keep your personal data only for as long as it is needed:
- Enquiries that do not result in a booking: we retain your contact details and message for up to 6 months in case you follow up, then delete them.
- Completed repair jobs: we keep job records (name, vehicle details, work carried out, associated correspondence) for up to 6 years. This is consistent with standard UK business record-keeping practice and our obligations in respect of warranties on repairs.
- Insurance claim records: retained for 6 years following completion of the claim.
- Website analytics data: retained in anonymised or aggregated form in line with the relevant tool’s data retention settings.
8. Cookies and Website Analytics
Our website may use cookies: small text files placed on your device: to help it function and to help us understand how visitors use it. Where we use analytics tools, they collect information such as how many people visit our site, which pages are popular, and where visitors come from.
